Below are our standard terms and conditions of business. In order for you to submit a Deed Poll application to the UK Name Change Service you must agree to these terms and conditions.

(1) Definitions
In these terms and conditions, the following terms shall (unless the context otherwise requires) have the following meanings:
- “Website” means the Internet website owned and operated by the UK Name Change Service which is accessible at the domain name namechanges.org.uk;
- “Conditions” means these terms and conditions;
- “You” and “Your” means a Person who or which has ordered goods and/or services from Us;
- “Us”, “Our” and “We” means the UK Name Change Service.
(2) Alterations
UK Name Change Service reserves the right, at any time and without prior notice, to change or remove any clause within these Conditions. In the event that such a change or removal is made, You shall be bound by the Conditions to which you originally agreed.
(3) Our guarantee
- If your Deed Poll carrying our official seal is not accepted as documentary evidence of your change of name by any government agency, company, or organisation within the United Kingdom, we will issue you with a full refund of your application fee subject to your compliance with the requirements set out in section 3.2 of our conditions.
- A full refund of your application fee will be issued by cheque once you have provided us with full details (name, address, telephone number, website, etc) of the government agency, company, or organisation which refused your Deed Poll as documentary evidence of your change of name. We also reserve the right, at our discretion, to request that you make your Deed Poll available to us for inspection.
(4) Exceptions to our guarantee
Our guarantee as set out in Section 3 of our conditions shall not apply in the following circumstances:
- If you are a foreign national residing within the United Kingdom;
- If your Deed Poll is refused as documentary evidence of your name change due to incorrect execution of the document;
- If a Deed Poll prepared to change the name of a child is rejected because the record holders parental consent requirements are not met;
- If your Deed Poll is rejected because a record holder requires further documentary evidence that your name has changed for “all purposes”.
(5) Correction of errors on your Deed Poll
- If we make a mistake on your Deed Poll (your name(s), address, or any other typographical error), we will arrange for a corrected replacement to be dispatched to you within seven working days of being notified. There is no charge for this service. You may notify us of errors on your Deed Poll by telephoning our helpline on 020 3397 0441 or by sending an email to corrections@namechanges.org.uk.
- If an error appears on your Deed Poll as a result of you providing incorrect information at the time of your Application, You can pay a fee of £10 to have a new error-free Deed Poll document dispatched to you within seven working days of receipt of your correction fee. Your use of this service is subject to the exclusion(s) set out in section 5.3 of our conditions.
- The replacement Deed Poll service set out in Section 5.2 of our conditions shall only be available to you if we believe that you have made a genuine mistake while submitting your Application to us. we reserve the right to withhold this service to any individual as we deem appropriate.
(6) Replacement of lost documents
- Should your documents not arrive at your nominated delivery address within seven working days of dispatch from our office, We shall deem them as lost in transit.
- In the event that your documents are lost in transit, we will arrange for replacement documents to be dispatched to your nominated delivery address within seven working days of being notified of non-delivery. There is no charge for this service. Refer to Section 6.3 of our conditions for exclusions.
- You have a period of 30 days from the date your documents are dispatched to notify us that they have not arrived at your nominated delivery address. Once the 30 day period has expired it will be assumed that your documents were safely delivered into your custody. We will not offer replacement documents nor will you be entitled to receive a refund of your application fee.
- You shall not be entitled to a refund of any part of your application fee as a result of your documents getting lost in transit. In the event that your documents are lost and you do not notify us within 30 days, you can obtain a replacement Deed Poll for a fee of £10.
- Once you have taken custody of your documents it becomes your sole responsibility to ensure their safe return to us should you decide to take advantage of any of our associated services. Therefore, if your documents go missing while in transit from your custody to ours, there will be a fee of £10 payable for us to issue replacement documents.
(7) Our right to refuse your application
We reserve the right to cancel any application which does not comply with our Acceptable names policy or is deemed in any other way unsuitable by us. You will be notified within three working days if we are unwilling to process your application. A refund of your application fee will be made within seven working days of your initial payment.
(8) Your right to cancel a pending application
Due to the nature of the service we provide, your right to cancel an application is limited to the period of time between submitting the application to when we begin to prepare your Deed Poll. We usually process applications within 24 hours of receipt however we may process your application sooner depending on the processing service you selected. We advise that you notify us as soon as possible if you wish to cancel your application so that you can receive a full and complete refund of the fee paid.
