Certified Copies & Archive Service
Certified copies
When changing your name by Deed Poll you must write to or visit every organisation (employers, banks, building societies, etc) asking them to amend their records to show your new name.
When writing to organisations you must include your Deed Poll as evidence of your change of name. If you only have one copy of your Deed Poll (the original) this can be a long and tedious process taking months to complete because you must wait for each organisation to return your Deed Poll before you can send it onto the next. Certified copies are colour photocopies of your original Deed Poll document which are certified by us to be a true copy of the original and can be used in lieu of your original document when informing people of your change of name.
For example, if you ordered three certified copies of your Deed Poll, you could potentially inform four organisations of your change of name at a time because you could use each of the certified copies and also your original document. It is, however, advised that you keep the original Deed Poll in your possession at all times because when sending it off to external organisations it can be damaged or even lost.
Archive service
When we make the certified copies of your Deed Poll we will also store a digital image of your Deed Poll in our archive so that you can retrieve further certified copies at a later date should you lose or mislay your Deed Poll.
The fee for this service is £10 which includes three certified copies of your Deed Poll. You can then order extra copies at a rate of £2 per copy.
